Missed call calculator

What are missed calls costing your business?

Put in your numbers and see what the calls you can't answer add up to over a year. Then see how to work it out yourself.

The maths

Every missed call is a job for someone else.

Most people who hit voicemail just ring the next business on the list. Drag these to match your week and see what that adds up to.

The real numbers

What a missed call actually costs you.

A missed call doesn't show up on any invoice, so it's easy to treat it as free. It isn't. Some of those callers were ready to buy, and when they hit voicemail most of them ring the next business on the list.

You can work out roughly what that's costing you with four numbers.

1. Missed calls a weekCheck your phone's recent calls for a normal week. Count the ones you didn't answer and didn't call back within the hour.
2. How many are new workNot every call is a job. Some are suppliers, existing customers or spam. A fair starting guess for most trade businesses is somewhere between a third and a half.
3. How many you'd winOf the genuine enquiries you do answer, how many turn into a job? Use that same rate.
4. Your average jobWhat's a typical job worth to you? Use the job value, not the profit, and keep it honest.
The sum

Multiply them together.

Missed calls a week, times the share that are new work, times your win rate, times your average job. That's roughly the work walking out the door each week. Multiply by 52 for the year.

For example: 10 missed calls a week, 40% new work, half of those won, at $800 a job. That's 2 jobs and $1,600 a week, or about $83,000 a year. The calculator above does the same sum for your numbers.

From a real business

42% of missed calls were someone trying to buy.

At Ryans Turf, a turf farm on the NSW south coast, Auxily answered 84 calls the team couldn't get to between late July and mid October 2026. 35 of them were real orders and enquiries, including a sports field and a school job.

Every one of those calls came in on a weekday during business hours. Missed calls aren't mostly an after-hours problem. They're the calls that come in while you're busy doing the work.

What you can do

Four ways to stop losing them.

Call back fasterFree, and it helps. But it only works if you see the missed call quickly and the caller hasn't booked someone else.
Fix your voicemail messageTell callers you'll ring back today and ask for the job details. Some will leave them.
Use an answering serviceA person takes a message. Better than voicemail, usually charged per call or minute.
Forward missed calls to AuxilyIt answers in seconds, takes the job details and sends them to you. Your phone still rings first.
